PurposeFacilitate the day-to-day and smooth running of Sponsorship at PIIA level

What does the job holder plan?

  • Carry out 100% quality control, tracking and validation of outgoing Sponsorship communications at PU level
  • Track, follow-up and cross check NOIs assigned to Frontline staffs and report to ASC/PIIAM.
  • Sort, package and dispatch all sponsor and sponsored children’s letters to Frontline staffs and to the Country Office
  • Support PIIAM /ASC, Program officer and Frontline Staffs with training of CVs
  • Monitor and Coordinate performance management of CVs in the PIIA.
  • Ensure monthly updating and dispatching of master lists to Frontline staffs and Councils
  • Follow up and monitor PIIA caseload
  • Cross check and validate death reports and cancellations in the field and report to PIIAM
  • Track and report to Track and report to ASC all cases of relocations and dual enrolment for immediate action
  • Random sampling cross check SC home visits reports submitted to ASC/PIIAM
  • Support ASC/PIIAM with coordination of overall production of area sponsorship documents (C/GMSC, SPAR) and CD letter of Appreciation and their linkages with CS in the PIIA

What are the outputs deliverables?

  • Bi-weekly and Monthly reports of all documents dispatched and received at PIIA level and in all the different Zones of the PIIA
  • Quality control monthly report of communication send from the field and recommendations for CV motivations and training needs
  • Monthly report on NOI treatments in the PIIA; Cancellations; Death and relocations of SCs in the PIIA
  • Quarterly report on production of Sponsorship documents and tracking of link with Country strategy

What does the post holder oversee?

  • Compliance and adherence to sponsorship book and other supplementary guidelines
  • Ensure that Plan’s Child Protection Policy and related procedures are adhered to in all aspects of work
  • The respect of deadlines
  • The turn-around rate of NOIs.
  • Caseload management and reporting.

Which teams/posts report into the post holder?

Nil.  Liaise with Frontline staffs.

Qualifications and Experience

  • Advanced level or equivalents
  • Minimum of two years of previous work experience in Sponsorship
